The Lower School Assistant plays a vital role in supporting the Lower School Office, ensuring the division's daily operations run smoothly. This position provides administrative assistance primarily to the Lower School Principal and Associate Principals, as well as to faculty and staff, including counselors and teachers. Additionally, it involves supporting students and families within the division.
Main duties and responsibilities:
- Administrative Support: Provide administrative assistance to the Principal and Associate Principals, supporting the daily operations of the division.
- Calendar & Scheduling: Manage appointments and maintain up-to-date calendars for the Principal and Associate Principals. When needed and in alignment with the Principal, assist Lower School counselors and SSTs/SOCs.
Meeting & Event Coordination:
- Organize and coordinate internal division meetings (e.g., Wednesday Professional Learning sessions, end-of-year celebrations), including arrangements for room bookings, catering, and equipment setup.
Organize, plan, and support Lower School-specific parent events, such as the Back-to-School Night and other gatherings.
- Availability to work on two or three Saturdays per school year during the Admissions Lower School Assessment Days.
- Office Management:
Oversee the Lower School Office from 8:00 am to 5:00 pm, ensuring lunch coverage with the other administrative assistant.
Answer phone calls, greet guests professionally, and maintain a safe, organized, and clean office environment.
Monitor office supplies and, when needed, manage school supplies for all LS staff (including cataloging and ordering).
Provide books and drawing materials for students.
Send communications to Lower School faculty, staff, and parents on behalf of the Lower School Office.
- Guest Relations:
Interact professionally and courteously with parents, faculty, staff, and students, both in person and via email or phone.
Support multilingual families beyond English and Portuguese, including coordinating translations.
Greet students and address their immediate needs (e.g., behavioral concerns, consultations with APs) and assess whether their visit requires further attention.
- Financial & Purchasing Support:
Manage purchase order requests for division-related expenses, including both local and international purchases.
Process invoices and maintain accurate records of the division's budget and finances.
- Travel Arrangements: Coordinate flight, hotel, and other travel arrangements for the Principal and Associate Principals' business trips.
- Personal Assistance: Assist the Principal and Associate Principals with personal tasks such as paying general bills, scheduling medical appointments, arranging personal trips or events, and providing Portuguese-language support as needed.
- Student Passes Management:
Use PowerSchool to process and approve student passes submitted by parents, including requests for absences, early dismissals, birthday buses, and students leaving with friends.
Generate and distribute physical passes to teachers and teaching assistants for student delivery.
- Substitute Teacher Coordination: Serve as the point of contact for teacher absences (both planned and unplanned) and arrange substitute teachers as needed.
- Forms Management: Create, collect, and organize essential forms, such as field trip permission slips.
- Crisis Management & Safety:
As a trained fire marshal and part of the school's fire brigade, assist with emergency procedures (e.g., fire drills, lockdowns, medical incidents).
Support student welfare by helping students who are lost, upset, or in need of basic first aid.
- Interschool communications: Regularly communicate with key stakeholders involved in the daily lives of LS students, including the Transportation Manager, Nurses, Security Manager, receptionist, and Athletics and Activities team.
